Does this sound like your business?

  • You find out about cash problems when the account is already low.
  • Receipts live in the truck or a shoebox until tax time.
  • Invoices go out late, and nobody's sure who still owes you.
  • Bills get paid when someone remembers, so late fees pile up.
  • Payments come in, but nobody checks them against what you billed.
  • Your CPA sends questions every year, and the bill keeps climbing.
  • Payroll runs on a spreadsheet and somebody's memory.
  • New hires start before their paperwork is done.
  • Your books are months behind, and catching up feels impossible.
  • The books only get caught up at tax time.

What I take off your plate

Bookkeeping cleanup

I catch up books that have fallen behind and correct what's wrong: every account reconciled, miscategorized entries fixed, and missing invoices and payments found.

Monthly bookkeeping

Once the books are clean, I keep them that way. Each month closes on schedule, with reports you can actually read.

Tax-ready books for your CPA

Reconciled books and the reports your CPA asks for, ready before tax season. Your CPA spends less time cleaning up, and you pay less for it.

Payables and invoicing workflows

Invoices go out on schedule, payments get matched against what you billed, and bills get approved and paid on time without sitting in your inbox.

Payroll

Payroll runs accurately and on time, including teams spread across more than one state.

New-hire onboarding setup

A repeatable process for new-hire paperwork, payroll and benefits setup, and orientation, done the same way every time.

Your tools, reviewed

I look at the software and systems you use today and recommend what to keep, what to replace, and what to connect, so you're not paying for tools that don't talk to each other.

Buried in paper? Let's go digital

Receipts, bills, and documents get captured digitally when they arrive, so nothing lives in a glove box and nothing gets lost.

Back-office processes that run without you

I streamline how bills, invoices, and paperwork move through your business, so the work gets done the same way every time, whether or not you're watching.

Change can feel like a lot, especially when the current way has worked well enough for years. I walk you through each step, and you decide what changes and when.

  4. 4

    Monthly support

A flat monthly fee to keep them that way.

Questions about back-office work

What does the back office include, and how is it different from operations?

The back office is the work that keeps money and records moving: bookkeeping, invoicing, paying bills, payroll, paperwork, and new-hire setup. Operations is how the rest of the business gets done: who does what, the handoffs between people, and the processes and systems behind them. The two overlap, which is why Discovery looks at both.

What software do you work with?

Whatever fits your business. Part of Discovery is looking at the tools you use today and recommending whether to keep them, replace them, or connect them better. If your software is outdated or being discontinued, I'll help you move to something that fits.

My books are years behind. Can you catch them up?

Yes. Discovery shows how far behind they are and what shape they're in, and I quote the cleanup as a fixed price from there.

Do you do taxes?

No. As your bookkeeper, I keep your books accurate and current: recording transactions, reconciling your accounts, managing bills and invoices, running payroll, and preparing the reports your CPA needs. Your CPA or accountant handles everything outside that, including preparing and filing your tax returns, tax planning and advice, audits and financial statement reviews, and representing you with the IRS. At year-end, I hand your CPA clean, reconciled books, so they start from accurate numbers instead of cleaning up first.

Do I have to give you my passwords?

No. Discovery doesn't need any logins. For ongoing work, you add me as a user or accountant in your software, so you never share your personal login.

How much does monthly bookkeeping cost?

It depends on your transaction volume and how many accounts you have. After Discovery, I quote a flat monthly fee, so there are no surprises.

Your bookkeeper keeps the books. Your CPA files the taxes.

Your bookkeeper (that's me)

  • Records every transaction, every month
  • Reconciles bank and credit card accounts
  • Sends invoices and tracks who owes you
  • Manages bills so they're paid on time
  • Runs payroll
  • Delivers monthly reports and tax-ready books at year-end

Your CPA or accountant

  • Prepares and files your tax returns
  • Tax planning and tax advice
  • Audits and financial statement reviews
  • Represents you with the IRS
  • Advises on major financial and structural decisions

Why you need a bookkeeper

Your CPA sees your numbers once or twice a year. Your bookkeeper keeps them right all year, so you can make decisions with current numbers instead of last year's. And when tax season comes, your CPA works from clean, reconciled books instead of spending billable hours cleaning them up first.

Bookkeeping isn't a twice-a-year job. When the books only get caught up at tax time, mistakes sit for months: a short payment, a missed invoice, a charge that doesn't belong. Monthly bookkeeping catches them while they're still easy to fix.
